Memorandum of Agreement

Virginia Tech University Libraries has an established Digitization Project Memorandum of Agreement (MOA). The purpose of an MOA is to manage expectations of the parties involved, help guide project planning and assist in coordinating the work of multiple departments from multiple institutions and organizations. It is required that all partners sign an MOA prior to digitization projects after mutually developing and agreeing to the terms.

  • Purpose: Summarizes the project
  • Scope of Work: Describes the materials
  • Projected Resources: Defines the anticipated timeline for digitization
  • Responsibilities: Who performs each task
  • Temporary Custodianship: Determines that if Virginia Tech digitizes materials in-house, they become temporary custodians until digitization is complete
  • Copyright: Defines any access restrictions
  • Ownership: Confirms that all materials belong to the original organization
  • Timeline: Describes the anticipated timeline for the entire project
  • Contingencies: Agreement to be flexible if the timeline needs to be changed
  • Contact information for both parties
